How to Stay Organized and Effectively Manage your Workloads

2022 is just around the corner, and with it comes a chance for you to really up to your game professionally. Whether you are a freelancer, work for a company, run a team or work remotely, 2022 is the time to grow yourself professionally, especially after the tumultuous two years that we have left behind.

So, where do you start on your growth path? How do you land yourself in 2022 ready to go and ready to tackle the new year head-on? Well, we recommend that you start right now. As the year draws to a close and things calm down (mostly), now is the time to plan for the year ahead.

We decided to provide you with the hacks that we have found helpful to streamline workloads, remain organized, and be effective in tackling daily tasks. So, let’s get stuck in and unpack our favorite ways of staying on top of your work.

Have Templates for Everything

One of the biggest time-consuming activities is to create basic documents that you are sending out and using from scratch. Create a library of templates that you can easily access and edit for each aspect of your workflow. If you are a marketing manager, for example, use a marketing proposal template. If you are a web designer or content writer, create adjustable website briefs that can be adapted for different clients.

Not only will this save you stacks of time and energy, but you will notice that it actually helps you standardize your work. With editable templates, you can get the flow of work uniform, and be able to match tone and language to brand. This will work wonders when you are trying to grow your brand with several different elements being integrated into it.

Keep Vital Work On the Cloud

There are a number of solutions for you to make use of which will allow you to keep all of your work cloud-based. Also, remember to stay updated with your cloud solutions, so if you need assistance migrating to a newer version, there are a number of  Microsoft Sharepoint Development migration services that can assist you in streamlining the process.

The cloud saves endless hours of saving documents, sharing them via email, having them edited and sent back (it’s truly an endless cycle), allowing for a lot less room for error. The solutions are swift, efficient and edits are saved on the spot. No one ever wants to go through the pain of forgetting to save the document that they have worked for hours on.

Make Use of Collaborative Tools

We cannot begin to express what game-changers these are. Tools like monday.com and Trello have been highly effective for managing teams, projects, tasks, and individuals – all in one space. Essentially, they allow multi-user access and allow you to define roles, projects, and tasks. You are then able to allocate team members to various tasks or projects, set deadlines, monitor their status, and share vital information. Some also allow you to track time, indicate when tasks are completed, and set up full virtual workflows.

What is more, you are also able to integrate various other tools into these tools. Real-time communication platforms, like Slack, allow you to communicate with teams, individuals, or the entire company or channel instantly. They also allow for real-time notifications to be sent. Have you just allocated Amber from marketing a new task? A notification will pop up letting her know. Has she missed a deadline? Again, instant, automated notifications make it a total breeze.

Re-Look at Your Work-Management Strategy

We have all been guilty of this. Life gets busy, work gets busy. Deadlines loom and then make that weird whooshing sound as they fly by your head. In many cases, weeks go by where you are just trying to keep your head above water and tackle tasks when you get to them.

Now is the time to slow down and re-plan how you are going to manage tasks. We have always recommended desk calendars and weekly work pads which allow you to note down your tasks for the day and the week. This allows you to have a birds-eye view of what needs to be achieved over the week. Divide your daily work into the easiest tasks to the most difficult tasks and schedule them throughout the day. Start off with a few easy tasks to get momentum, and then tackle the more difficult ones. In fact, go further and break up the tricky tasks into smaller, more manageable ones as those can be incredibly daunting.

Last Thoughts

Set yourself a daily schedule that you can follow. If you work from home, you might find it tricky to stay productive throughout the day. So, plan your schedule ahead of time and stick to it. Stick to your lunch break times and time to have a break, take a breather, and refuel. Lastly, keep your desk neat. Have that calendar visible, and make sure you straighten your desk after every productive day.
